As the Operations & Executive Support Manager, you'll help build the internal systems, structures, and coordination that support our missionand play a key role in shaping how the organization operates and evolves in its next chapter.

Position Summary

The Operations & Executive Support Manager is a key member of The Leadership's small, collaborative team, responsible for ensuring the organization runs smoothly behind the scenes. This hands-on role manages internal operations, supports the Executive Director and Board, and helps deliver high-quality experiences that strengthen stakeholder engagement.

Working across systems, vendors, and programs, the Operations & Executive Support Manager improves day-to-day operations, drives greater efficiency, and expands the organization's capacity. In close partnership with the Engagement & Development Manager, this role also plays a central part in delivering the events and programs that bring The Leadership's mission to life.

This is a cross-functional role ideal for someone who excels at planning, execution, and problem-solvingand who thrives in a dynamic environment where thoughtful coordination makes a lasting impact. This position is hybrid and requires travel in and around the Baltimore metropolitan area, as well as occasional evenings and weekends.

Roles & Responsibilities

Operations & Systems Management

  • Manage and improve day-to-day internal operations, identifying opportunities to enhance effectiveness and streamline work.
  • Keep organizational systems, files, and processes running smoothlywhether it's the Neon CRM, Airtable workflows, shared drives, or meeting systems.
  • Support coordination of budgeting, compliance/HR, and finance-related processes in partnership with the ED and outsourced vendors.
  • Manage relationships with outsourced service providers (finance, HR, tech, etc.) ensuring they're responsive and aligned with the organization's needs.
  • Manage the Leadership's office space and storage needs.

Executive & Board Support

  • Partner closely with the Executive Director to keep priorities on track, timelines moving, and information organized by supporting scheduling, meeting prep, and project follow-up.
  • Interact with executive level Board members.
  • Coordinate Board meetings, including preparation of materials, note-taking, and follow-up on action items.
  • Manage Board communications and follow-up, ensuring timely updates and engagement.
  • Support Board Committees and Task Forces.

Program and Event Operations, Logistics, and Management

  • Manage program delivery processes and operational systems.
  • Effectively engage with executive-level program participants and alumni.
  • Partner with both the Executive Director and Engagement & Development Manager to design and deliver The Leadership's programming including the annual Flagship cohort and alumni events. Focus on effective and efficient event delivery, including logistics, expense management, and process execution.
  • Ensure seamless event logistics for participants by partnering with the Engagement & Development Manager to plan, coordinate, and execute events to foster community and connection.
  • Collaborate with the Engagement & Development Manager to plan all program logistics and delivery details from start to finish, including timelines, vendor coordination, and day-of execution.
  • Track and improve program logistics and delivery performance.

Project Management

  • Lead and coordinate projects that support organizational goals and strengthen infrastructure.
  • Manage the annual Section process for class members to the Flagship program including application tracking, scheduling interviews, and coordinating the Selection Committee comprised of forty alumni.
  • Manage data and operations for the annual Flagship program applicant recruitment process
  • Collaborate with the Engagement & Development Manager on the collection and analysis of engagement data to measure alumni participation, program impact, and fundraising potential.
  • Partner with the Engagement & Development Manager to generate reports and insights to inform engagement strategies, recruiting approaches, fundraising efforts, and organizational decision-making.

Requirements

Education & Experience Requirements
  • A bachelor's degree in nonprofit management, operations, business or a related field is preferred.
  • A minimum of four (4) years of experience in operations, project coordination, executive and board support, nonprofit administration, or similar role.
  • Experience in nonprofit operations, new systems or process implementation, vendor and contract management for outsourced services, event planning, and database/CRM management is highly desirable.
  • Background in higher education, leadership development programs or nonprofit organizations is a plus.

Technology & Systems

  • Excellence with office management software (Microsoft Office, Zoom, Airtable, CRM tools).

Benefits
