The Opportunity

The Loan Setup and Disclosures Supervisor plays a pivotal role as a hands-on leader, guiding and engaging with the loan setup and disclosures team in their daily operations. This dynamic position is crucial for ensuring that tasks are completed with precision, speed, and within the established timeframes, all while the supervisor actively manages files and processes. With a strong focus on team performance, the supervisor will oversee training, handle escalations, and streamline workflows across both internal departments and external partners. Additionally, this role involves identifying and implementing enhancements to processes that boost operational efficiency, accuracy, and compliance.

This is a Full-Time/Hybrid opportunity offering competitive pay ranging from $25.74-$31.46 per hour.

Job Duties and Responsibilities:

Team Oversight and Workflow Management

  • Supervise the loan setup and disclosures team by managing pipeline flow, assigning daily tasks, and ensuring all files are processed within established service levels. Monitor team capacity and adjust workloads to stay ahead of volume surges.

Working File Management and Task Execution

  • Actively process loans and complete key tasks including reviewing submissions, issuing initial disclosures, and preparing accurate Loan Estimates and Closing Disclosures. Maintain subject matter expertise in all department functions.

Escalation Handling and Cross-Team Coordination

  • Serve as the escalation point for internal teams, brokers, and third-party partners. Collaborate with operations and sales to resolve issues efficiently and maintain strong communication across departments.

Training, Quality Control, and Process Guidance

  • Provide ongoing training and mentorship to team members. Review output for accuracy, regulatory compliance, and adherence to company procedures. Offer feedback and guidance to support continuous learning and performance.

Compliance and Disclosure Oversight

  • Oversee the accuracy and timeliness of disclosure packages, ensuring full compliance with TRID, including disclosure timing, change of circumstance events, and correct calculation of cash to close, credits, and reductions.

Outsourcing and Vendor Management

  • Coordinate closely with offshore and outsourced teams to ensure alignment with internal standards. Address performance gaps and provide direction to maintain quality and timeliness.

Process Improvement and Operational Efficiency

  • Actively identify opportunities to streamline processes, reduce errors, and improve overall efficiency. Collaborate with leadership and other departments to implement changes that enhance workflow and operational performance.

Requirements

  • A high school diploma or equivalent is a must; however, we prefer candidates with an associate or bachelor's degree.
  • At least 2 years of experience in loan setup, disclosures, or document drawing is required. We favor applicants with a minimum of 2 years in a supervisory or team lead role.
  • Experience in the wholesale mortgage channel is highly desirable.
  • A solid grasp of TRID regulations, change of circumstance guidelines, and timing requirements is essential.
  • You should be adept in issuing disclosures and carefully reviewing loan submission packages for completeness and compliance.
  • A strong understanding of cash to close calculations, lender credits, compensation, and principal reductions is required.
  • We expect a high level of computer proficiency, particularly with Microsoft Office.
  • Experience with Encompass is strongly preferred.
  • We are looking for individuals with exceptional organizational, communication, and leadership skills.
  • You should be capable of managing staff while also contributing individually.
  • A proactive approach with a commitment to process improvement and efficiency is essential.
