Job Description


Provides comprehensive administrative and operational support within the Human Resources department. Key responsibilities include recruiting for assigned positions, including applicant screening, reference checks, documentation, and tracking to maintain optimal fill time. Coordination of drug testing and physicals, booking travel arrangements (airfare, hotel, and rental vehicles), benefits billing and credit card reconciliation, documentation, correspondence, recruiting, and support for various HR projects.

Requirements

  • Coordinates recruiting for assigned positions, including applicant screening, reference checks, documentation, and tracking to maintain optimal fill time.
  • Coordinates pre-employment physicals and drug screenings, communicating with vendors and internal supervisors to ensure timely processing for new hires.
  • Facilitates full onboarding processes, ensuring all required employment forms (W-4, I-9, etc.) are completed accurately and timely.
  • Schedules and books airfare, hotel accommodations, and rental cars for candidates, employees, or staff as needed, ensuring adherence to travel policies and cost-effectiveness.
  • Coordinates relocation for employees.
  • Maintains working knowledge of Benefits, Employee Programs, Worker's Compensation, and Payroll. Provides backup as needed.
  • Reconciles monthly benefit billing statements and works with vendors or Finance on discrepancies and adjustments.
  • Performs monthly credit card reconciliation for HR-related transactions, ensuring proper coding, receipts, and approvals.
  • Maintains screening and interview tools and assists in applicant tracking.
  • Attends job fairs and recruiting events as a representative of Cal Farley's.
  • Serves as a notary and provides notarial services as required.
  • Assists with special projects, and reporting assigned by the VP of HR.
