Job Description

The Iowa Racing and Gaming Commission (IRGC) is seeking a highly motivated, skilled, solution-oriented, and enthusiastic individual to join as an Administrative Assistant in our main commission office at 6200 Park Ave Des Moines, IA 50321

IRGC's mission is to administer the laws and rules for gambling and wagering in Iowa in order to ensure the integrity of licensees and their operations, maintain public confidence in regulated gambling and wagering activities in Iowa, and promote economic development for the citizens of Iowa.

It is a Monday?Friday position with standard office hours. Some travel will be required.

Desired qualifications include:

  • Clerical procedures, including word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Great attention to detail and a high level of organizational skill.
  • Excellent written and oral communication skills.
  • Comfort with responding to a high volume of inquiries and prioritizing clerical work.
  • Experience working with diverse populations in a team environment.
  • Commitment to providing a high-quality service.
  • Displays high standards of professional and ethical conduct.

What You'll Do:

  • Assist program coordinator with administrative rules, legislative proposals, policies and procedures
  • May represent program manager in meetings or making presentations as needed
  • Prepare training schedules and travel, monitoring and staying within program budget
  • Draft presentation materials
  • Draft, maintain, and update forms
  • Gather data from other states and compares with Iowa
  • Prepares data summaries, graphs, and charts for use in reports and speaking engagements
  • Provide information, interpret and explains rules/policies/regulations
  • Prepare or preaudit weekly wire deposits
  • Prepare or preaudit deposits for licensing fees and fines
  • Verify deposits
  • Track and prepare reports of fees received year-to-date and yearly
  • Receive self-reports from licensees on criminal or disciplinary proceedings
  • Make the travel and hotel arrangements, create the agenda, and send out submission deadlines for the commission meetings.
  • Attend commission meetings take notes and prepare minutes

Minimum Qualification Requirements

Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:

  • Graduation from an accredited four-year college or university with a bachelor's degree in any field, and experience equal to one year of full-time administrative support (e.g., screening visitors and callers; opening/distributing mail, typing/proofing documents, letters, and reports; organizing files; scheduling meetings/appointments; arranging travel; processing travel claims; ordering supplies/equipment) or technical support work (e.g., determining budget, personnel, and equipment needs; compiling/evaluating statistical, historical, economic, business, financial or technical program data; interpreting or securing compliance with laws, rules and regulations; reviewing operating records/reports and evaluating their effectiveness).
  • A total of five years of education and/or full-time experience (as described in number one) where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.
  • Current, continuous experience in the state executive branch that includes experience equal to 12 months of full-time work as an Administrative Assistant 1.
