Job Description


We are looking for an experienced and highly detail-oriented Account Payable Accountant to join our finance team. The Account Payable Accountant is responsible for ensuring accurate and timely processing of invoices and payments. The ideal candidate will have 5-7 years of hands-on accounts payable experience. This position requires strong attention to details and organization skills, and the ability to effectively communicate with vendors and internal stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned to meet the finance department objectives:

  • Invoice processing: receive, review and process invoices accurately and efficiently. Verify invoice details and approval in a timely manner.
  • Payment Processing: prepare and issue payments to vendors via check and electronic transfer. Ensure adherence to payment terms and resolve any discrepancies or issues promptly.
  • Document weekly payment runs including making copies of checks and attaching appropriate invoices before submitting for signature.
  • Maintain organized and up to date records of account payable transactions, including invoices, payments, and supporting documentation in NetSuite.
  • Manage the processing of employee expense reports submitted through the company's Concur system. Review expense details, ensure compliance with company policies and expense guidelines, and process reimbursement in a timely manner.
  • Assist in generating account payable reports, providing insights and recommendations to improve processes and efficiency.
  • Assist with the implementation and maintenance of AP automations tools and workflows.
  • Establish and maintain positive relationships with vendors. Address inquiries and concerns regarding invoices, payments, and account statements in a professional and timely manner.
  • Maintain accurate and up-to-date vendor records and W-9s. Creates and maintains database with 1099 information and generate 1099 reporting.
  • Acts as backup for other accounting staff, including accounts receivable as needed or required.
  • Assist with audits and provide required documentation.

Knowledge and Skills:

  • Precise attention to detail, highly organized.
  • Ability to respond to unpredictable business demands, keep multiple projects on track simultaneously and work well under pressure and short deadlines.
  • Proficient in computerized Accounts Payable functions.
  • General knowledge of accounting and understanding of general ledger accounts and how they relate to invoices.
  • Ability to handle confidential employee and customer data.
  • Good interpersonal skills: ability to work well at all levels.
  • Demonstrated dependability through punctual attendance and adherence to timelines and schedules.
  • Conform with and abide by all regulations, policies, work procedures, and instructions.

Requirements

  • BA in Finance, Business, or related field, or equivalent in related years of experience.
  • 5 to 7 years of related professional experience.
  • Proficiency in Microsoft Excel and Adobe Acrobat Pro.
  • High level of attention to detail and ability to work independently, prioritize tasks and meet deadlines.
  • Technology savvy with advanced knowledge of accounting and reporting.
  • Recent, hands-on experience with NetSuite and Concur, with in-dept knowledge of system functionalities and day-to-day operational use.
  • Experience with Account Payable Automation is preferred.
