Job Duties and Responsibilities

  • Work closely with senior management and perform secretarial and administrative tasks.
  • Create reports, documents, and presentations in different formats.
  • Enter data, maintain databases, and keep records.
  • Coordinate with different departments, answer phone calls, and make travel arrangements.
  • Manage all internal and external correspondence on behalf of senior management.
  • Schedule appointments, maintain a calendar of events, and send reminders.
  • Take notes, make copies, and use office equipment like scanners and fax machines.
  • Prepare for events and arrange for refreshments, if needed.
  • Order office supplies and manage mail and courier services.
  • Follow proper business practices and etiquette.

Requirements and Qualifications

  • A high school diploma or GED.
  • Training or certification in secretarial work or office administration.
  • 1-2 years of experience as a personal assistant is preferred.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
  • Strong typing, note-taking, record-keeping, and organizational skills.
  • Ability to manage correspondence from both internal and external sources.
  • Familiarity with office equipment like printers, copiers, and fax machines.
  • Experience using scheduling software like Microsoft Outlook and call forwarding.
  • Excellent written and verbal communication skills.
