Sales Administrative Assistant RSI Department

Location: Brea, CA
Schedule: Full-Time | Monday Friday | 8:00 AM 5:00 PM
Pay: $22 $26 per hour (based on experience)

About the Role

We are seeking a detail-oriented, proactive Sales Administrative Assistant to join our RSI department. This individual will support our sales team with bid coordination, project startup activities, proposal management, and event logistics. If you're organized, customer-focused, and thrive in a dynamic environment, we'd love to hear from you!

Key Responsibilities Sales & Administrative Support
  • Assist in preparing proposals, quotes, and bid packages
  • Track leads and follow-ups to ensure timely client communication
  • Process expense reports with accurate cost coding
  • Organize documents for client meetings and sales presentations
Bid & Proposal Coordination
  • Help compile complete bid packages for fire sprinkler and life safety services
  • Gather internal data from estimating and engineering teams
  • Track status of submitted bids and communicate updates
Project Startup Support
  • Coordinate documents for new project setups (background checks, booking sheets, etc.)
Events & Travel Planning
  • Schedule and coordinate team travel for events, site visits, or conferences
  • Book flights, accommodations, and prepare event materials
  • Maintain calendars and ensure smooth scheduling
Sales Reporting
  • Maintain sales lead tracking systems
  • Provide regular updates on pending bids and scheduled events

Requirements

  • 1+ year of experience in sales support or administrative assistance
  • Proficiency in Microsoft Excel, Outlook , and standard office tools
  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
