						  Job Title: Administrative Assistant
Location: Houston, TX
Pay Range: $24.00 Hrly
Must have previous experience in Transportation Ground Regulations
Ground Regulatory Compliance Administrator
Primary Duties & Responsibilities ? majority of the duties below will require precise data entry in CEVA systems to maintain vehicle qualification. Unit refers to Power Unit or Trailer.
Understanding or familiarity with below is required.
Order & Process:
UCR, State & Federal Permit Renewals per requirement dates for per below but not limited to:
SCAC, State Oversize/Weight, Alcohol, NYHUT, IFTA, Federal HazMat
Order IRP plates and permits.
Order decals for power units or trailers upon request/notification.
Quarterly Audit of Vehicle Inspections Submission (DVIR?s) for qualification.
Provide management with reports, as required, or requested for but not limited to:
Oregon mileage/unit numbers, EEO, Annual Motor Carrier Reports.
Assist Risk Management with Annual Audit
& Insurance Auto & Comp/Collision renewal policy.
Update & Maintain vehicle maintenance records and files. Send insurance cards to station contacts and fleet managers.
Insurance 3rd Party COI provided by Independent Contractors, ensure meets CEVA contractual standards.
Complete vehicle transfers, new activation, inactivation for Contract Logistics division based on Share Point site. Process may include decal order and/ or permits, verification & qualification of vehicle registration and inspection.
IRP Program ? work with third party vendor (TRC) to order or transfer plate for new activated units.
Reports ? required for Taxes. Ran per schedule and reconciled against collected Independent Contractor deductions.
Assist field personnel on Safety & Compliance requirements for DVIR?s, QVMR?s, IFTA, IRP and other transportation Federal and State programs.
Provide support with cost estimates of various programs.
Invoice reconciliation for various programs and invoice submissions for final payment.
Other Duties as assigned.
Skills/Experience
2 ? 5 years Knowledgeable in administration of DOT/FMCSA Regulations ? Certificates are a plus.
2 ? 5 years' Experience in office environment
Demonstrated problem solving and analytical skills and ability to quickly understand processes.
Organizational and follow-up skills and the ability to communicate in a confident and professional manner.
Strong written and verbal communication skills.
Ability to manage sensitive and/or confidential documents and information.
Must be able to meet deadlines and complete all projects timely.
Must be a collaborator to support department members in meeting / furthering department goals.
Computer Skills
Must be PC literate.
Proficiency in Driver TenStreet software
Proficiency in Microsoft 365 ? Teams Share Point, Teams Calendar, Word, Excel, Power Point
Knowledge of Web3 AP Software benefit
Languages & Communication Skills
Must be able to read, write and speak English fluently.
Spanish ability to read, write and speak is a plus.
