We are looking for a legal receptionist who can handle various tasks in our reception department. This includes welcoming visitors and answering phone calls. Other duties may include scheduling appointments, responding to inquiries, and managing incoming and outgoing mail. Some filing tasks may also be required.
To be successful in this role, you should have strong communication skills and be familiar with general office procedures. A great legal receptionist is professional, well-presented, and makes a good first impression.
Job Duties and Responsibilities
- Greeting clients and visitors when they arrive at the reception area.
- Answering phone calls in a professional manner and directing them to the appropriate person.
- Assisting clients and visitors in finding the right legal staff member.
- Scheduling and confirming appointments.
- Following business etiquette and maintaining a professional appearance.
- Organizing mail, faxes, and deliveries and ensuring they reach the intended recipient.
- Ordering and restocking office supplies.
- Taking care of office equipment maintenance and repairs.
- Assisting with tasks like copying, scanning, faxing, emailing, note-taking, and making travel arrangements.
- Preparing meeting rooms and arranging refreshments, if needed.
Requirements and Qualifications
- High school diploma or equivalent.
- Formal training in office administration, secretarial work, or related field.
- Optional qualification in paralegal studies or similar.
- Prior experience as a legal receptionist is a plus.
- Familiarity with legal terms, documents, and filing procedures.
- Strong written and verbal communication skills.
- Proficiency in using word processing, spreadsheets, printers, copiers, scanners, and appointment scheduling and call forwarding systems.
