We are looking for a new executive assistant to help our executive team. You will be responsible for handling important tasks for the team, such as creating reports, organizing travel arrangements, taking meeting notes, and other organizational duties. To be successful in this role, you should have a good understanding of Microsoft Office, be able to solve problems quickly, and have experience as an executive or administrative assistant.
Job Duties and Responsibilities
- Creating financial documents, reports, memos, invoices, letters, and other important papers.
- Answering phone calls and directing them to the right person or taking messages.
- Handling basic bookkeeping tasks.
- Organizing and retrieving company records, documents, and reports.
- Researching and gathering data to prepare documents for review and presentation to executives and board members.
- Assisting in preparing for meetings.
- Taking accurate notes during meetings.
- Greeting visitors and deciding if they can meet with executives.
- Using computer programs like word processing, spreadsheets, databases, and presentations.
- Reading and understanding important memos and emails, and distributing them to the right people.
- Making travel arrangements for executives.
- Managing office tasks like ordering supplies and keeping records organized.
- Experience working as a virtual assistant.
- Sorting and distributing incoming faxes, emails, and other important messages.
- Providing general administrative support.
Requirements and Qualifications
- Proven experience as an executive assistant or in a similar administrative support role.
- Good understanding of Microsoft Office.
- High school diploma or equivalent.
- Ability to organize tasks and prioritize them.
- Must be able to work in a fast-paced and changing environment, and meet deadlines.
- Proactive problem-solving skills and ability to make decisions.
- Excellent communication skills, both written and verbal.
