Job Title: Operations Manager

Reports to: Executive Director or Clinical Director

Job Summary:

The Operations Manager is responsible for overseeing the day-to-day operations of the outpatient behavioral health facility, ensuring efficient and effective delivery of services to clients. The Operations Manager will work closely with the clinical team to ensure seamless coordination of services, manage administrative tasks, and maintain compliance with regulatory requirements. The ideal candidate will have a strong background in behavioral health, operations management, and excellent organizational skills.

Responsibilities:

Manage the day-to-day operations of the outpatient facility, including scheduling, staffing, and logistics.

Collaborate with the clinical team to develop and implement policies, procedures, and programs that align with the organization's mission and goals.

Oversee the intake and assessment process, ensuring that all necessary documentation is completed and accurate.

Coordinate with other departments (e.g., admissions, billing, HR) to ensure seamless communication and efficient service delivery.

Develop and maintain relationships with external partners, vendors, and stakeholders to ensure smooth operations and collaborative partnerships.

Monitor and report on facility performance metrics, including client satisfaction, retention rates, and program outcomes.

Identify opportunities for process improvements and implement changes to enhance efficiency, quality, and patient satisfaction.

Develop and manage budgets for specific programs or departments, ensuring compliance with organizational budget guidelines.

Ensure compliance with all relevant regulations, including HIPAA, Joint Commission, and state-specific requirements.

Develop and maintain policies and procedures for facility operations, including emergency preparedness and crisis management.

Participate in quality improvement initiatives and activities to ensure continuous improvement of services.

Supervise administrative staff and behavioral technician staff, including hiring, training, and performance evaluations.

Provide support to clinical staff as needed, including guiding facility policies and procedures.

Work Environment:

The Operations Manager will work primarily in an office setting at the outpatient facility.

Occasional travel may be required for meetings or training sessions.

Work Schedule:

The Operations Manager will work regular business hours (Monday-Friday, 8am-5pm), with occasional evening or weekend work as needed.

Requirements

Bachelor's degree in a related field (e.g., business administration, healthcare administration, psychology).

Minimum 2 years of experience in behavioral health operations management or a related field.

Strong understanding of behavioral health principles, practices, and regulations.

Proven leadership and management skills, with experience supervising staff.

Excellent organizational and communication skills.

Ability to work in a fast-paced environment with multiple priorities.

Ability to maintain confidentiality and handle sensitive information.

Experience working in a behavioral health setting or related field (e.g., healthcare administration).

Knowledge of accreditation standards (e.g., Joint Commission).
