Under general supervision of the Director of Materials Management, the Surgical Services Buyer is responsible for purchasing supplies, equipment and purchased services to support operations of the Cath Lab and Operating Room. Responsible for procuring and managing all medical supplies and equipment needed for surgical procedures, ensuring adequate inventory levels, negotiating with vendors, and maintaining cost-effectiveness while prioritizing quality and patient safety by closely collaborating with surgeons and nursing staff. Performs a variety of duties including inventory management, sourcing, invoice/purchase order discrepancies, contract price review and other duties as assigned.

  1. Facilitates purchasing of material, equipment, merchandise, instruments, supplies and services for Surgical Services and Cath Lab.
  2. Monitors and maintains approved minimum and maximum inventory levels as part of the overall organizational inventory strategy.
  3. Accurately communicates and acts as a liaison between receiving and storeroom functions.
  4. Identifies, qualifies, sources, obtains quotes, and negotiates quantities and pricing from potential vendors.
  5. Helps manage the interaction with vendors that ensures contractual obligations are being satisfied.
  6. Works to ensure GPO alignment is achieved in order to realize savings and efficiencies.
  7. Proficient in the Materials Management module, creates item masters, vendor masters and performs various inventory transactions.
  8. Logs and files Special Request forms, vendor product information, invoice discrepancies, service reports by vendor, all standing orders, maintenance and service agreements, contracts, and rental agreements in vendor and monthly standing order file.
  9. Ensures accurate and efficient procure-to-pay processes with Accounts Payable.
  10. Creates and maintains seamless communication across department and organization. Proactively communicates with staff on delivery status on outstanding orders. Communicates all back orders and anticipated delivery dates.
  11. Collaborates with surgeons and nursing staff to evaluate new products and select the most appropriate options based on clinical needs and cost considerations.
  12. Unbox and stock supplies in appropriate assigned locations.
  13. Ensures compliance with all regulatory standards regarding medical supplies and equipment.
  14. Demonstrates adaptability, problem solving and professional behavior at all times.
  15. Maintains patient confidentiality and appropriate handling of PHI.
  16. Abides by the HMH Legal Compliance Code of Conduct.
  17. Maintains a safe work environment and reports safety concerns appropriately.
  18. Performs all other related functions as directed.

Requirements

Education : High school diploma or GED required.

Experience : One year of experience in operating room required.

License/Certification : Current, valid driver's license.

Required Skills : Excellent organizations skills. Demonstrates basic understanding of surgical procedures, medical devices, and sterile techniques.Experience in vendor management, contract negotiation, and price analysis.Ability to interpret data, identify trends, and make informed purchasing decisions.Effective communication with healthcare professionals, vendors, and internal stakeholders.
