The Sales Assistant provides a variety of support for the sales team, including preparing documents and presentations for quotes, proposals, and renewals, as well as administrative support such as telephone/email customer support, appointment scheduling, data tracking, mailings, purchase orders, and document management. Serves as the department's "super user" for CRM and sales software systems.

ESSENTIAL FUNCTIONS

  • Assist the sales team with preparation of manual quotes, proposal presentations, and renewal presentations and options.
  • Answer and route routine sales and service inquiries to the appropriate Delta Dental of Idaho representative or department.
  • Serve as the "super user" of the department's CRM and sales tracking systems in ProClaim 2.
  • Manage the DDPA Marketing Database process by engaging the team and meeting timeline and compliance obligations.
  • Scan, upload, and update contract documents and administrative activities within the sales tracking system.
  • Keep web-based quotes current and assigned to the appropriate sales representative, including unknown quotes.
  • Maintain new prospect setup and existing groups in ProClaim 2.
  • Coordinate producer appointment paperwork with Underwriting and follow up with new producers and agencies for tax ID#'s and SSN's.
  • Support producer requests for commission inquiries, web logins, passwords, where to find documents, etc.
  • Create and proofread content for large/jumbo group PowerPoint presentations for client meetings.
  • Manage inventory/promotional items for giveaways, sponsorship events, health fairs, client meetings, sales collateral, and shipments or packets for broker training events.
  • Register and coordinate the sales team for industry meetings and events.
  • Coordinate monthly sales meetings, including agendas, lunch-ins, and tech support.
  • Manage and renew producer licenses for the sales team.
  • Process producer requests, including carrier appointments, Producer of Record changes, Book of Business transfers, and manage documents.
  • Manage the monthly expense reporting for the sales & marketing department credit cards and the processing of purchase orders.
  • Demonstrate a commitment to the organization's core values, code of ethics, and compliance/security standards.
  • Other duties as assigned.

Requirements

KNOWLEDGE, SKILLS, AND ABILITIES

  • High School diploma or equivalent required; bachelor's degree in business or related field preferred.
  • Previous administrative experience preferred, particularly in a sales/marketing environment.
  • Intermediate proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
  • Ability to work independently with limited supervision to successfully accomplish job tasks with a strong ability to manage one's own time.
  • Strong proofreading skills and attention to detail.
  • Professional written and verbal communication skills.
  • Commitment to teamwork, customer service, and dependability.
  • Adaptable to a changing work environment with the ability to multitask and prioritize.
  • Positive, proactive approach to conflict resolution.
  • Ability to work with a diverse group of people.
