Executive Administrative Assistant is responsible for performing administrative duties to help executives work smoothly and efficiently. He/she will report straight to the Executive Assistant and Executive team.

Essential Duties and Key Responsibilities

  • Help to generate leads and tactical plans primarily related to National JOC and Municipal markets
  • Facilitate regular meetings with executives to provide updates, align on client needs and market strategies
  • Maintain detailed records in CRM for accurate tracking, follow up and pipeline management
  • Set client meetings for Executives and prepare meeting documents and update presentations
  • Attend meetings and events with some travel as needed
  • Prepare and distribute meeting agendas, take meeting minutes, and follow up on action items as necessary
  • Conduct market research of potential clients and collaborate with Executives on client strategies
  • Spearhead communications, such as emails, reports, and other correspondence
  • Create newsletters and email blasts for promotional purposes
  • Coordinate travel arrangements with Executive Assistant including flights, hotels, and car rentals
  • Maintain organized files and records ensuring easy access and retrieval of information
  • Other projects/tasks as assigned

Requirements

  • H.S. Diploma and minimum 2-years office experience required.
  • Proficient in Microsoft Office including Excel, Word, PowerPoint, good communication and organizational skills are necessary.
  • Administrative experience with a construction company preferred.
  • Must have reliable daily transportation
  • Full time in office
