This position plays a vital role in ensuring the smooth operation of our dispatch department, with a specific focus on documentation, border crossing coordination, and administrative assistance.

This position operates out of our Hammond terminal.

Core Responsibilities:

  • Provide clerical and administrative support to the dispatch and logistics teams.
  • Assist dispatchers with coordinating driver schedules and updating load status information.
  • Manage and prepare documentation needed for Canada/U.S. border crossings , including customs paperwork and compliance tracking.
  • Communicate with drivers to confirm dispatch instructions and resolve minor issues as they arise.
  • Maintain accurate and up-to-date records of driver activities, load details, and regulatory documents.
  • Support data entry, filing, and organizational tasks related to dispatch operations.
  • Monitor incoming calls and emails and assist with customer service inquiries related to dispatch.
  • Assist in ensuring compliance with transportation and customs regulations.

Requirements

  • Previous clerical, administrative, or dispatch support experience (transportation or logistics industry preferred).
  • Strong organizational skills and attention to detail.
  • Knowledge of Canada/U.S. cross-border documentation is highly preferred .
  • Excellent communication skills (both written and verbal).
  • Proficiency with Microsoft Office (Word, Excel, Outlook) and dispatch-related software systems.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Flexibility with work hours as needed to support dispatch operations.
