Job Description


We are looking for a highly skilled and experienced administrative person to provide administrative support to our team. The successful candidate will be responsible for managing day-to-day administrative tasks, providing exceptional customer service, and ensuring the smooth operation of our office.

In This Role, Your Responsibilities Will Be:

Administrative Support:

Provide administrative assistance to the team, including general administration that includes Operational, Facility and Property Management, Transport Management, Canteen Management, Inventory/Vendor Management. Handling entire scope of Housekeeping

Office Management:

Manage the day-to-day operations of the office, including maintaining supplies, equipment, and management and generation of reports - weekly, Quarterly, and annually. Responsible for Procurement and inventory management

of stationery,

housekeeping consumables, pantry consumables

Communication:

Vendor Management, Negotiation with the vendors, ensuring smooth services, coordinate with various internal & external customers in an effective manner

Scheduling:

Ensuring travel arrangements for the team, Car and Hotel booking for employees and

guests, co-ordination with employees, guests/customer representatives. Food arrangement for guests during their visits at office. Periodic Repairs and maintenance of facility

Data Entry:

Timely invoice processing of related services and ensuring payments as per decided credit terms

Record Keeping:

Maintain accurate and up-to-date records, company documents, and other sensitive information. Maintain AMC

traking of verious services as per schedules. Responsible for contractual employee agreement renewal, Housekeeping, , time office management etc

Customer Service:

Provide exceptional customer service to internal and external clients. Responsible to handle related audits and

legal compliance, Govt. compliances

Special Projects:

Assist with special projects and tasks as assigned by management..

Quality Control & Assurance

Implementation of EEEC IMS processes/documentation as & when required throughout the project.

Adopts to WA quality requirements and Customer?s regulatory guidelines

Practices and promotes First time right approach.

Strictly follows GDP (Good Documentation Practices).

Other Duties

Perform other additional specific duties, when requested by the business. These will, typically, be strategic in nature but could potentially be anything that the post holder is suitably qualified and experienced to undertake. These duties may be assigned to the person under guidance of a supervisor.

For This Role, You Will Need:

Minimum 10+ years of administrative experience; experience in a fast-paced office environment preferred.

Need to be flexible in a dynamic environment.

Technical Skills

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Excellent communication, organizational, and time management skills.

Ability to maintain confidentiality and handle sensitive information

Strong attention to detail and problem-solving skills.

Preferred Qualifications that Set You Apart:

Bachelor's degree or equivalent experience in any field

Certifications/Awards: None required, but certifications such as Certified Administrative Professional (CAP) or Certified Professional Secretary (CPS) are a plus.
