Job Description

We are seeking a friendly and efficient veterinary office manager to manage all administrative tasks in our clinic. This includes greeting pet owners, resolving conflicts among staff, answering phone calls, and escorting pet owners and their pets to the exam room. You should also be able to answer questions about our clinic's policies, appointment availability, and treatment costs.

To be successful in this role, you should have patience, attention to detail, and the ability to handle multiple tasks at once. It's important to communicate well with both pet owners and staff, and to have excellent management, organizational, and customer service skills.

Job Duties and Responsibilities

  • Answering phone calls politely and professionally
  • Creating an inventory control system to ensure timely ordering of office and medical supplies
  • Preparing health, immunization, and euthanasia certificates as needed
  • Sending invoices and collecting payments from pet owners
  • Creating work schedules for staff and managing their performance
  • Notifying veterinary staff immediately of emergency cases
  • Updating medical records and pet owners' contact and billing information
  • Interviewing and training new office staff
  • Providing educational materials to pet owners with sick or injured pets
  • Addressing and resolving pet owners' complaints promptly

Requirements and Qualifications
